# What tasks are (https://docs.serviata.ru/en/docs/tasks)

The shared list of work your team is doing — where it lives, how a task is described, and who can change what.

A **task** is one piece of work somebody has to do: change the linen in 204, fix the lamp by the
pool, call the guest back about their late checkout. It has a title, an owner, a deadline and a
status, and it stays visible to everyone who works that property until it is closed.

That is the whole point of the module. Work that lives in a chat message or in somebody's head is
work nobody can hand over at the end of a shift; work that lives in a task can be found, reassigned
and counted.

## Where it lives [#where-it-lives]

**Tasks** is in the sidebar under **Team Suite**. The page opens on the task list, and four tabs
across the top hold the rest of the module:

| Tab | What it holds |
| ------------------- | --------------------------------------------------------------------------------------------- |
| **Tasks** | The list of actual work — everything below starts here. |
| **Tags** | The labels you put on tasks, and where you create them. |
| **Recurring Tasks** | Schedules that create tasks for you, over and over. |
| **Templates** | The blueprints you reuse, under two sub-tabs: **Checklist templates** and **Task templates**. |

If **Tasks** isn't in your sidebar at all, the module is switched off for your workspace — write to
[support@serviata.ru](mailto:support@serviata.ru) naming your workspace and ask for it to be turned on.

## How a task is described [#how-a-task-is-described]

Five things do most of the work, and it's worth knowing them before you create anything:

* **Status** — where the work has got to: **New**, **Accepted**, **In Progress**, **Paused**,
**Done**, **Cancelled**. Anyone who can see the task can move it, straight from the list.
* **Priority** — **Critical**, **High**, **Normal** or **Low**, shown in the list as a coloured flag
so a critical job is visible without reading a word.
* **Due date** — when it should be finished. Past that date, an unfinished task is marked
  **Overdue** in red.
* **Assignees** — the people (or [groups](https://docs.serviata.ru/en/docs/settings/user-groups/)) who are meant to do it.
* **Property** — which hotel the work belongs to.

Every task also gets a **number** — the short `#` beside its status — which is how people refer to
one task out loud without reading its title.

## Property tasks and workspace tasks [#property-tasks-and-workspace-tasks]

Every task belongs either to **a property** or to **the workspace as a whole**, and this is chosen
when it's created. It is not decoration: it decides who sees the task at all. A task on the Lisbon
property is visible to the people who work in Lisbon; a workspace task is for work that isn't tied
to one building — a supplier contract, a company-wide announcement.

The same split runs through the module. Tags, recurring schedules and the people you can assign are
all offered per property, so a Lisbon task is assigned to Lisbon staff and labelled with Lisbon's
tags.

<Callout title="Pick the property first">
In every form here, the property field comes first and the rest of the form fills itself in from
it — assignees, watchers and tags all wait for it. If a workspace has only one property, it is
chosen for you and the field is locked.
</Callout>

## Who can change what [#who-can-change-what]

Access to tasks comes with a person's [roles](https://docs.serviata.ru/en/docs/settings/roles/), per property, and the Tasks
module offers these permissions — worth knowing before you build a role:

| Permission | What it lets you do |
| ---------------------------------------------------------------------------------------------------------- | -------------------------------------------------------------------------------------------------------------- |
| **Sees tasks** | Open the list and read every task, tag, checklist, template and recurring rule. |
| **Creates tasks and works on their own** | Create tasks; on tasks assigned to you, change the status, tags and checklist marks, comment and attach files. |
| **Edits any task** | Change the title, assignees, watchers, due date, priority and description of any task. |
| **Deletes tasks** | Delete a task. Marked sensitive. |
| **Manages tags**, **Manages checklist templates**, **Manages task templates**, **Manages recurring tasks** | Create, edit and delete the corresponding things. |

The presets draw the line where most teams do: **Housekeeping** and **Front desk** hold the first
two — they do the work and report on it — while **Hotel manager** holds all of them and decides what
the work is. A housekeeper marks a room done and adds a photo; a supervisor decides who cleans it
and by when. Fields somebody can't change are shown to them greyed out rather than hidden, so
everyone reads the same task.
