# The task list (https://docs.serviata.ru/en/docs/tasks/list)

Reading the list, grouping it, and finding one task among hundreds with search, filters and sorting.

The list is the screen your team keeps open. It shows every task you have access to, across all your
properties, and it is built to answer one question quickly: what needs doing, and by whom.

## What a row tells you [#what-a-row-tells-you]

| Column          | What it holds                                                                     |
| --------------- | --------------------------------------------------------------------------------- |
| **Status**      | A dropdown, not a label — change it here without opening anything.                |
| **Name**        | The title, and underneath it the checklist progress if the task has one.          |
| **Created**     | The day it was created.                                                           |
| **Assigned To** | Who is doing it, as initials. **Unassigned** when nobody is.                      |
| **Deadline**    | The due date, in red when it's **Overdue**. **No deadline** when there isn't one. |
| **Tags**        | Up to three, then a `+2` for the rest.                                            |
| **Priority**    | A coloured flag — the darker and redder, the more urgent.                         |
| **Property**    | Which hotel, or **Workspace** for a workspace task.                               |
| **Locations**   | Where in the property the work is, as a chip, then a `+2` for the rest.           |

Hovering an avatar shows whose it is; the list holds the first few and counts the rest. Hovering a
location shows its full path — see [Locations on tasks](https://docs.serviata.ru/en/docs/locations/in-tasks/).

The **Locations** column is there when Locations is enabled for your workspace.

## Groups, and what decides them [#groups-and-what-decides-them]

The list is never a flat run of rows: it is cut into groups with a heading and a count, and **what
the groups are is decided by what you sort on**.

| Sorting by     | Groups you get                            |
| -------------- | ----------------------------------------- |
| **Created at** | One group per day.                        |
| **Status**     | One group per status.                     |
| **Priority**   | One per priority, plus **No priority**.   |
| **Due date**   | One group per date, plus **No due date**. |

So "show me everything critical together" isn't a filter — it's sorting by **Priority**. One extra
group can appear above all of them: **Recently Added**, holding tasks created or changed while you
were looking at the screen, so new work doesn't quietly slide into the middle of the list.

## Finding one task [#finding-one-task]

Three tools sit above the list, and they combine:

**Search** — the field marked **Filter by title**. It searches titles only, so it finds "lamp" and
not the comment where somebody mentioned a lamp.

**Filters** — the button carrying a count of how many are active. Everything in it narrows the list:

| **Property**                      | One or more properties, and workspace tasks.                                 |
| **Locations**                     | Tasks in certain rooms, floors or areas — across every property you can see. |
| **Assignees** / **Watchers**      | Tasks a person or group is on.                                               |
| **Created By**                    | Who created it.                                                              |
| **Tags**                          | Tasks carrying certain tags.                                                 |
| **Created from** / **Created to** | A date range.                                                                |
| **Overdue only**                  | Past due, not done or cancelled.                                             |

1. Every filter, and Clear all filters at the bottom

**Sort** — a field (**Created at**, **Status**, **Priority**, **Due date**) and a direction
(**Ascending** / **Descending**). Remember that this also regroups the list.

Above the table, **Tasks found** counts every task that matches right now — not only the rows loaded
so far. While the list catches up with a change, **Applying filters…** appears beside it.

## When the list comes up short [#when-the-list-comes-up-short]

A list with nothing in it is usually the filters rather than the absence of work — **Clear all
filters** at the bottom of the filter panel brings it back. The page distinguishes the two, so you
never have to guess which one you're looking at.

**Clear all filters** empties the search field too — and with a [view](https://docs.serviata.ru/en/docs/tasks/views/) open, it empties
that view's filters, because a view keeps every change you make.

The list loads more as you scroll, so a long list doesn't need paging through.
